Privacy Policy

1. Introduction

Medical Dispatch & Telematics LLC ("Company," "we," "us," or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use the MDT platform, including our web application at mdtnow.com and our mobile applications (collectively, the "Service").

2. Information We Collect

Account Information

When you create an account, we collect your name, email address, phone number, company affiliation, and driver identification number.

Location Data

When you enable GPS tracking in the mobile app, we collect real-time location data including latitude, longitude, speed, altitude, and bearing. This data is used to track deliveries, calculate mileage, and provide fleet visibility to dispatchers. Location tracking only occurs when you are actively on shift (between going Available and Unavailable).

Delivery and Earnings Data

We collect information about your deliveries, routes, settlements, earnings, and mileage logs. This includes data uploaded via settlement PDFs and MileIQ CSV files.

Vehicle Information

If you use the vehicle management feature, we collect vehicle details such as year, make, model, and fuel efficiency ratings.

Delivery Photos

When you capture proof-of-pickup or proof-of-delivery photos, or attach an existing photo from your device's library, we collect and store those images as part of the delivery record. These photos are used solely to document the courier service for you and the dispatch company.

Device Information

We automatically collect device information including device type, operating system, app version, and unique device identifiers for the purpose of providing and improving the Service.

3. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve the Service
  • Track deliveries and calculate mileage in real time
  • Process settlement data and generate earnings reports
  • Calculate estimated tax deductions based on IRS mileage rates
  • Enable dispatchers to assign and monitor delivery jobs
  • Provide real-time driver location to authorized dispatchers
  • Learn common routes and optimize delivery operations
  • Send service-related notifications (e.g., job assignments)
  • Respond to support requests

4. Data Sharing

We may share your information with:

  • Your Employer / Dispatch Company: Dispatchers within your company can view your location (when on shift), delivery status, and job performance data
  • Service Providers: Third-party services that help us operate the platform (e.g., hosting, mapping, analytics)
  • Legal Requirements: When required by law, regulation, or legal process

We do not sell your personal information to third parties.

5. Location Data Controls

You have control over location tracking. GPS tracking only activates when you toggle to "Available" status in the mobile app and stops when you toggle to "Unavailable." You can also revoke location permissions through your device settings at any time, though this will prevent mileage tracking and real-time fleet visibility features from functioning.

6. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. Delivery records, mileage logs, and settlement data are retained to support tax reporting and historical analytics. You may request deletion of your account and associated data by contacting us at [email protected].

7. Cookies and Local Storage

We keep a small amount of data in your browser (cookies and local storage). Most of it is strictly necessary for the Service to work and is always on. Analytics is optional and only loads if you press Accept in the cookie banner. We do not use advertising cookies or social media pixels, and our fonts are hosted on our own servers, so loading a page does not send your IP address to Google Fonts.

Strictly necessary (always on)

  • Sign-in: your sign-in token and basic account details (auth_token, auth_user, portal_token and related client portal keys) so you stay signed in. Signing out removes them.
  • Company selection: the dd_company cookie, used only by platform administrators to choose which company's dispatch screens they are viewing.
  • Your settings: light or dark theme, sidebar layout, saved filters on the Jobs and Reports screens (kept only until you close the tab), recently used contacts and billing accounts on the order form, the selected dispatcher, dismissed reminders, and your assistant conversation.
  • Your cookie choice: mdt_cookie_consent_v1 remembers whether you accepted or rejected analytics.
  • Security: Cloudflare, which protects mdtnow.com, may set a security cookie (such as __cf_bm) to filter out automated traffic. Staff administration pages use a session cookie and a CSRF protection cookie.
  • Payments: subscription payments are handled on Stripe's own checkout and billing pages, where Stripe sets its own fraud-prevention cookies.

Analytics (only with your consent)

  • Microsoft Clarity: records how pages are used (clicks, scrolling, page views) so we can find confusing screens and fix problems. It sets cookies such as _clck, _clsk and Microsoft's MUID/CLID.
  • Sentry Session Replay: a recording of the page session that helps us diagnose errors.

If you reject, none of these load. You can change your choice at any time with Cookie Settings in the footer of every page or with the button below. Rejecting after accepting removes the analytics cookies we can reach. Clearing this site's data in your browser removes everything listed above, including your sign-in.

8. Data Security

We implement appropriate technical and organizational measures to protect your information, including encrypted data transmission (HTTPS/TLS), secure token-based authentication, and access controls. However, no method of electronic storage or transmission is 100% secure, and we cannot guarantee absolute security.

9. Your Rights

Depending on your jurisdiction, you may have the right to:

  • Access and receive a copy of your personal data
  • Correct inaccurate or incomplete data
  • Request deletion of your data
  • Object to or restrict certain processing of your data
  • Data portability (receive your data in a structured format)

10. Children's Privacy

The Service is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on the Service and updating the "Last updated" date. Your continued use of the Service after changes are posted constitutes acceptance of the updated policy.
